Donor Relations/Administration Coordinator

The Job: working closely with our Executive Director and as an integral member of Team 418, our Donor Relations/Administrative Coordinator organizes, develops and manages our general and capital campaign donor relationships, helping us succeed in the creation of a thriving, permanent, accessible community artspace at the Riverfront. As a team member, you will be the ‘place the buck stops’, holding us accountable gently and accurately, as we grow together. BIPOC and queer people are especially invited to apply for this position.

Opening: Ready to hire immediately
Schedule:  20 hours/week, Monday-Friday, flexible schedule
Location: 155 South River Street, Santa Cruz (can work remotely much of the time if desired)

Reports to: Executive Director
Supervisory Responsibilities: None
Salary & Benefits: 

  • Salary range $18-23/hr 
  • Part-time, non-exempt position working approximately 20 hours per week

+are already facile with databases (we use Excel and Airtable)

Essential Duties and Responsibilities 

Team 418 - 15% 

Under the guidance and development of the Executive Director, Team 418 builds relationships and manages organizational outreach, aligned with our mission, vision and values. In this period of dynamic growth and change, Team 418 listens carefully to the needs of our local community and beyond, providing a safe, compassionate and accessible place for all to Move and Be Moved. 

Donor Relations - 60% 

  • Send, monitor and respond to donor communications in a timely, caring and organized fashion 
  • Maintain excellent, complete donor records and provide needed reports 
  • Calendar capital campaign meetings and provide support for Capital Campaign Team members so they are present and organized when they do their thing 
  • Manage accurate gift entry into Airtable database 
  • Generate and assure accuracy and timeliness of gift acknowledgements 

Administrative Support 25% 

  • Act as the grounding element to our fiery team, providing accountability and organization needed to take us to the next level
  • Maintain accurate notes of organizational processes and organize follow up 

Knowledge, Skills, & Abilities 

  • Well-organized and detail-oriented 
  • Excellent interpersonal skills, with high professionalism, humor, and grace 
  • Comfort managing up - i.e. helping direct/prioritize your team and supervisor’s work as necessary 
  • Curiosity and interest in learning, especially in regards to nonprofit operations 
  • Self-directed with a passion for (or at least great satisfaction in) meeting goals and deadlines
